Occasion, audience and timing
Gather the likely date, city, venue name, expected attendance, preferred display time and event schedule. Include your organizer and venue contacts, any decision deadline and your working budget. Mark tentative details clearly.
Permission and site information
Identify who can authorize use of the site and share any available map or previous event plan. We review the firing area, audience and fallout areas, access, nearby exposures and operating activity. Do not assume a universal separation distance or that prior use guarantees approval.
Local coordination and vendor documents
Discuss venue rules, applicable approvals and the information local authorities or procurement teams need. EpicSky's qualifications include NFPA compliance, PGI certification and an ATF license. We provide the customer with a certificate of insurance; venue permission and local approvals remain event-specific.
Who handles what
The proposal should identify display design, setup, firing and agreed cleanup, along with venue access, event security or crowd management, local coordination, timing and communication. Confirm which tasks EpicSky, the organizer, the venue or other production suppliers will handle.
Music and sound
Choose traditional fireworks or explore a pyromusical. For music, discuss the approved soundtrack, audience listening area, sound equipment and who supplies and operates it. Audio inclusions or separate arrangements must be clear in the proposal.
Conditions, changes and site handback
Discuss wind, site conditions, restrictions and weather communication, plus any alternate date, postponement or cancellation terms. Agree the cleanup and site handback scope. These points are recorded in the proposal and agreement rather than assumed from general website copy.
